**Effective Date: September 3, 2026**

These Terms of Service govern the use of the SIMA Email Analyzer (“Service”), an internal email-security tool provided by SIMA Management Corporation (“SIMA,” “we,” “us,” or “our”).

## 1. Authorized Users

The Service is intended solely for authorized SIMA employees and other users approved by SIMA. You may not share access to the Service or use it on behalf of an unauthorized person or organization.

## 2. Purpose of the Service

The Service helps users evaluate email messages for possible phishing, impersonation, malicious links, suspicious attachments, and other security risks.

When a user selects “Analyze This Email,” the Service processes the selected message and returns a risk assessment identified as RED, YELLOW, or GREEN, along with explanatory information and recommended next steps.

## 3. Security Guidance and Limitations

The Service is a decision-support tool and does not guarantee that every malicious email will be detected or that every legitimate email will be classified correctly.

Users remain responsible for exercising appropriate judgment and following SIMA’s information-security policies. A GREEN result does not guarantee that an email is safe. If a message remains suspicious or involves money, credentials, confidential information, or an unusual request, users should verify it independently or contact SIMA’s IT department.

## 4. Acceptable Use

Users agree to:

– Use the Service only for legitimate SIMA business and security purposes.
– Submit only email messages they are authorized to access.
– Follow all applicable SIMA policies, laws, and regulations.
– Avoid using the Service to analyze unrelated personal communications or third-party information without authorization.
– Not attempt to interfere with, reverse engineer, misuse, or gain unauthorized access to the Service.

## 5. Email Data and Privacy

To perform an analysis, the Service may process information from the selected email, including its sender, recipients, subject, message headers, authentication results, body text, links, and attachment information.

The Service is configured not to retain complete email bodies or attachment contents after processing. Metadata-only security and audit records may be retained for operational, troubleshooting, and security purposes.

The Service may use authorized third-party service providers, including Google and OpenAI, to operate the email integration and perform portions of the analysis. Data is processed only as necessary to provide and maintain the Service.

Use of the Service is also subject to SIMA’s Privacy Policy:

Privacy Policy

## 6. Attachments and Links

The Service does not visit links, execute attachments, enable macros, or contact senders. Attachment contents are not sent to OpenAI. Users should not open a link or attachment merely because the Service returned a favorable result.

## 7. Availability and Changes

SIMA may modify, suspend, restrict, or discontinue the Service at any time. The Service may occasionally be unavailable because of maintenance, technical problems, third-party service interruptions, or security concerns.

## 8. Disclaimer

The Service is provided on an “as is” and “as available” basis. To the extent permitted by law, SIMA disclaims warranties concerning the Service’s accuracy, reliability, availability, or fitness for a particular purpose.

## 9. Suspension of Access

SIMA may suspend or revoke a user’s access if the Service is misused, if continued access creates a security risk, or if the user is no longer authorized to use it.

## 10. Changes to These Terms

SIMA may update these Terms periodically. The current version will be posted on this page with a revised effective date. Continued use of the Service after an update constitutes acceptance of the revised Terms.

## 11. Governing Law

These Terms are governed by the laws of the State of California, without regard to conflict-of-law principles.
